You Said You’d Check. Did You? An Unanswered-Question Workflow for Orlando and Tampa Agents
“I’ll find out” sounds helpful. Until nobody remembers what needed an answer. A client asks whether a specific appliance stays, which document contains an association rule, or when an appointment can be arranged. The agent promises to check. By the next conversation, the question is still open—but it has disappeared into a text thread.
This Agent Growth Tuesday playbook proposes an unanswered-question register for Orlando and Tampa real-estate agents. It is not another app or a replacement for your transaction procedures. It is a small discipline inside your existing CRM: keep the exact question, identify a source, assign responsibility, and return an answer that shows what was actually verified.
The problem is the disappearing question
A task that says “follow up with buyer” does not tell tomorrow’s agent what today’s buyer needed. Our suggestion is to write the question before writing the task. “Confirm whether the refrigerator identified during the showing is included” describes a specific issue. “Check appliances” leaves room for different interpretations.
Keep questions separate from assumptions. If the buyer thinks an item stays, record that as the buyer’s understanding—not an established fact. If a listing statement and another document appear inconsistent, preserve the discrepancy for review. A neat-looking CRM entry should not erase the uncertainty that made the question important.
Give each question a small, useful record
Start with the existing contact in your CRM. For Team Affinity’s basic Follow Up Boss workflow, use a concise contact note and an assigned follow-up task; retain the team’s established stages and tags. The suggested note format below is a working method, not a claim about an automated software feature:
- Question: What does the client need clarified?
- Context: Which property, item, or conversation does it concern?
- Source to consult: Who or what is appropriate for this question?
- Responsible person: Who will request and review the answer?
- Next update: When did you agree to report back?
- Status: Not requested, awaiting response, needs clarification, or answered.
These are plain-language note labels, not new CRM stages. Keep the note short enough to use during a busy day. Do not copy unnecessary private documents or financial details into it simply to make the record appear complete.
Choose the source before choosing the answer
Match the question to someone who can address it. Ask the listing side for clarification about a listing statement. Direct financing questions to the lender and technical property questions to an appropriately qualified professional. When an issue involves interpreting obligations, consult your broker or the appropriate licensed professional rather than turning a quick message into advice outside your role.
In an Orlando-to-Tampa search, keep the same method while verifying each property separately. A response about one building, association, or seller does not answer the question for the next address. Include the relevant address or document version in your request so a helpful reply cannot accidentally attach to the wrong home.
“Someone told me” is not the same as a traceable answer. Record who responded, when they responded, what they actually addressed, and where the supporting material is stored. If the response covers only part of the question, leave the rest open.
Promise an update you control
You may control when you contact the client, but not when another party replies. Separate those commitments. A suggested message—not a real client quotation—is: “I have requested clarification. I will update you tomorrow afternoon, even if the response is still pending.” Choose timing that fits the situation and any actual deadlines; do not invent urgency.
When the update arrives, say what happened. “The request was sent; no response yet” is clearer than “Everything is moving along.” If a decision depends on the missing information, identify that dependency and involve the appropriate professional. A task reminder does not extend a deadline or resolve an unanswered issue.
Close the loop without overselling certainty
Send the answer in a form the client can understand. Separate the source’s statement from your explanation, and point to the relevant material when appropriate. Ask whether this resolves the original question. A reply that arrived in your inbox is not necessarily an answer to what the client meant.
Consider an illustrative scenario: the buyer asks whether an appliance stays, and the response describes its age. That is useful information, but it does not resolve inclusion. Keep the question marked “needs clarification” rather than checking it off because somebody replied. The standard is relevance, not activity.
Once the issue is answered, record what was communicated and any agreed next action. If new information changes the answer, reopen the item and explain the change. Do not quietly overwrite the earlier note and leave the client relying on an outdated understanding.

Choose a current conversation with an unresolved question. Write the question in the client’s terms, identify the appropriate source, and assign the next update. Then review your notes at the end of the workday for items that received replies but still lack usable answers. Improve this small routine before adding more labels or tools.
